Information clause for persons submitting abstracts as part of Krakow Conference on Computational Medicine 2025 Enhancing Virtual Human Twin with AI solutions

The conference is co-hosted by three entities that, by common agreement, make a joint determination of the purposes and means of processing, and these are:

The task of collecting, coordinating the Program Committee and evaluating abstracts is carried out by Sano - Centre for Computational Personalised Medicine - International Research Foundation (hereinafter referred to as ‘Sano’), which will act as the sole personal data controller in relation to persons whose personal data will be collected and processed in this context.

Sano has designated the Data Protection Officer as the point of contact, : e-mail: iod@sanoscience.org  or with written form on Sano address.  


Purpose of processing
Personal data is processed for the purpose of collecting and evaluating submitted abstracts, notifying authors of the acceptance or rejection of a particular submission, and providing further information in the event of a positive evaluation of the abstract.

 Legal basis for processing

  • Article 6(1)(b) RODO - performance of a contract or taking action at the request of the person prior to the conclusion of a contract (participation in the event, publication of materials and other arrangements based on acceptance of the Conference regulations and rules for submitting abstracts),
  • Art. 6(1)(c) RODO - fulfilment of legal obligations incumbent on the controller,
  • Art. 6(1)(f) RODO - the controller's legitimate interest in organising and documenting events.

Recipients of personal data
Personal data may be transferred to:

  • entities providing IT, administrative and legal services to the Joint Controllers,
  • public authorities on the basis of applicable law,
  • the Controller of the Indico.cern.ch website (detailed information at the bottom of the page under Privacy).

Period of storage of personal data
Personal data will be stored:

  • for the period necessary for the organisation of the event and the settlement of any claims,
  • for the period for which controller is obliged to keep records in connection with the sources of financing of the Conference.

Rights of the data subject
Data subjects have the right to:

  • access to data,
  • rectify data,
  • delete data,
  • restriction of data processing,
  • object to the processing of data based on the legitimate interest of the Controller,
  • withdraw consent to the processing of data, if consent was the basis for processing.

Right to lodge a complaint with a supervisory authority
Data subjects have the right to lodge a complaint with the President of the Office for
Personal Data Protection if they believe that the processing of data violates the provisions of the GDPR.

Source of personal data
Personal data is collected directly from persons submitting abstracts for the event.

Voluntary provision of data
Provision of data is a condition of participation in the Conference.

 

Information regarding the processing of personal data during the conference will be provided at a later date.
